The most important desk sharing software requirements

The following functions are specified time and time again within the context of desk sharing software

  • It must be possible to book workplaces using a layout (graphical representation)

  • It must be possible to integrate the room booking system so that workstations and meeting rooms can be booked using the graphical representation

  • Occupancy plans must be available online

  • It must be easy to expand the workplace attributes

  • Equipment characteristics for workplaces must be created in the system or configured for the respective workplaces

  • Incident management must to be connected to the software for booking workstations so that a ticket can be triggered if necessary

  • The system must provide a graphical overview of the areas and their occupancy, on the basis of a selectable period of time

  • The booking of certain workplaces must only be possible if you belong to a specified user group

  • Workplace booking must be possible for a deputy/supervisor

  • When workplaces are being searched for, configurable requirements must be taken into consideration such as height-adjustable, barrier-free, etc.

  • If the person doesn't show up, the workplace must be released again automatically

  • It should be possible to limit the bookable period to the next 14 days, for example

  • Public holidays must be visible in the system

  • Multiple bookings must be possible

  • Recurring bookings must be possible

  • The system must be connected to the corporate directory service (Active Directory) to allow automatic registration (single sign-on) or to automatically take over personal information (e.g. name, department)

  • Kiosk systems must be supported

  • The desk sharing software must be barrier-free for the end user

  • The system must have comprehensive evaluation functionality

  • It should be possible to integrate the desk-sharing software into the Intranet
